Refund & Billing Policy
Version 2026-08-27 · Effective August 27, 2026 · Replaced on September 18, 2026
This Refund & Billing Policy explains billing, subscriptions, automatic renewals, trials, cancellations, failed payments, billing disputes, and refund requests for fees charged directly by ConfirmPH. This Policy applies together with the ConfirmPH Terms of Service, Business Terms, Privacy Policy, and any pricing, checkout, invoice, or purchase terms presented when you buy a ConfirmPH service.
This Policy covers ConfirmPH charges only
This Policy applies to subscriptions, paid plans, add-ons, additional capacity, and other fees charged directly by ConfirmPH. It does not govern rental prices, deposits, reservation fees, damage charges, refunds, penalties, or other payments made directly between a renter and an independent rental business unless ConfirmPH expressly states that it processed that specific payment.
1. Plans and pricing
ConfirmPH may offer free plans, paid plans, monthly or annual subscriptions, trials, add-ons, additional capacity, promotional offers, custom commercial arrangements, or other paid services. The applicable price, currency, billing interval, included entitlements, usage limits, renewal terms, taxes or fees where applicable, and relevant purchase conditions will be shown before payment or otherwise agreed in writing.
Plan names, features, limits, and prices may change prospectively. The current pricing or purchase interface is the source of truth for what is included in a particular purchase. ConfirmPH does not need to amend this Policy every time product packaging or plan entitlements change.
2. Free trials
ConfirmPH may offer free trials for eligible users or businesses. If a trial is offered, the applicable trial duration, included access, feature limits, payment requirements, and conversion or expiry rules will be shown when the trial begins.
If payment information is required and the trial automatically converts into a paid subscription, ConfirmPH will disclose before the trial starts that automatic conversion will occur, the applicable price, the billing interval, and when the first charge is expected. If a trial does not automatically convert into a paid subscription, no subscription charge will be made merely because the trial expires.
A free trial does not create a permanent entitlement to paid functionality. ConfirmPH may take reasonable steps to prevent repeated or abusive trial use.
3. Subscription billing
Paid subscriptions may be billed monthly, annually, or according to another billing period clearly disclosed before purchase. Before a recurring subscription is purchased, ConfirmPH makes the applicable price and billing interval reasonably clear.
By purchasing a recurring subscription, you authorize ConfirmPH and its authorized payment provider to process the applicable recurring charges until the subscription is cancelled or otherwise ends. Any applicable taxes, fees, or other charges will be handled as disclosed at checkout or as required by law.
4. Automatic renewal
Where recurring billing applies, your subscription will automatically renew at the billing interval shown at purchase until it is cancelled. Before purchase, ConfirmPH clearly shows the recurring price, billing frequency, whether automatic renewal applies, and how cancellation works. Where available, your account or billing area may also show the next billing date, current plan, renewal amount, and subscription status.
ConfirmPH may send renewal or billing notices where appropriate. However, you should not rely solely on receiving a reminder before cancelling.
5. Cancelling a subscription
You may cancel an eligible ConfirmPH subscription using the subscription-management tools made available through your account. If those controls are unavailable or not functioning, you may use the official ConfirmPH support or billing-contact process.
Unless otherwise stated:
- cancellation prevents future renewal
- the current paid subscription normally remains active until the end of the already-paid billing period
- no further recurring subscription charge should be made after the cancellation takes effect
- paid features may become restricted, downgraded, read-only, or unavailable after the paid period ends
- and cancellation does not automatically delete your account or associated data
Account closure and data deletion are handled separately under the Privacy Policy and Data Deletion Policy.
6. Refunds
Except where required by applicable law or expressly stated at purchase, ConfirmPH subscriptions are generally non-refundable after a paid billing period has begun. Cancelling a subscription normally prevents the next renewal rather than creating a prorated refund for the current billing period. This does not affect any refund, reimbursement, correction, credit, or other remedy that cannot lawfully be excluded.
ConfirmPH may review refund or billing-correction requests involving matters such as duplicate billing; an incorrect amount charged; a charge made after an effective cancellation; a ConfirmPH billing-system error; a payment-provider error; a paid plan or feature that materially failed to activate because of a ConfirmPH issue; an unauthorized transaction confirmed through the applicable investigation process; or another situation where applicable law requires a remedy.
Depending on the circumstances, an appropriate remedy may include correcting the charge, restoring the service, providing account credit, refunding all or part of the affected charge, or another reasonable remedy.
7. Change of mind and unused subscriptions
A change of mind does not ordinarily create a refund entitlement. Likewise, a refund is not normally due merely because you stopped using ConfirmPH, forgot to cancel before renewal, used the Service only occasionally, no longer need the Service, or decided after purchase that you preferred another product.
This remains subject to any rights or remedies that apply under applicable law or an express ConfirmPH offer.
8. No refund for business performance
ConfirmPH provides software and platform services. ConfirmPH does not guarantee a particular number of inquiries, a particular number of bookings, more customers, increased revenue, a particular search ranking, a particular number of profile views, positive reviews, higher conversion, or any other specific commercial result. A failure to achieve the business results you hoped for does not, by itself, create a refund entitlement.
There is an important difference between “I did not get enough bookings” and “I paid for a ConfirmPH service and the paid service was not actually provided because of a ConfirmPH failure.” The first is normally business dissatisfaction. The second may justify investigation and an appropriate remedy.
9. Cancellation during a billing period
If you cancel during a paid billing period, your subscription will normally remain active until the end of that period. Unused days are not automatically prorated or refunded unless ConfirmPH expressly offers a prorated refund, the purchase terms state otherwise, or applicable law requires another remedy.
10. Upgrades
If you upgrade a subscription, ConfirmPH will show the applicable new plan or entitlement, effective date, amount due, and billing effect before the change is confirmed. An upgrade may take effect immediately, begin on the next billing date, or use another clearly disclosed billing arrangement.
ConfirmPH does not charge an upgrade until the applicable price or charging method has been presented to you. If proration is not supported, ConfirmPH does not promise proration.
11. Downgrades
Unless otherwise shown, a downgrade will normally take effect at the end of the current paid billing period. A lower plan may reduce features, staff limits, fleet or record capacity, integrations, visibility tools, usage limits, or other paid entitlements. The expected consequences of a downgrade are shown before you confirm it.
Where existing account data exceeds the limits of the lower plan, ConfirmPH may restrict creation of new records or access to certain functionality rather than immediately deleting existing data. Any retention or deletion of account information remains subject to the Privacy Policy and Data Deletion Policy.
12. Add-ons and additional capacity
ConfirmPH may offer paid add-ons or additional capacity. An add-on may be recurring, one-time, usage-based, temporary, or structured in another way disclosed before purchase. The applicable price, duration, renewal behavior, conditions, and cancellation rules are shown before purchase.
Recurring add-ons normally continue until cancelled or until the associated subscription ends, according to the applicable purchase terms. A one-time add-on that has already been activated or consumed is not normally refundable merely because the customer later changes their mind, subject to applicable law. ConfirmPH avoids using terms such as "permanent" or "lifetime" unless the exact contractual meaning of those terms has been clearly defined.
13. Failed payments
If a recurring payment fails, is declined, or is reversed, ConfirmPH may take reasonable billing action, including retrying the payment where permitted, notifying the account owner, requesting an updated payment method, temporarily restricting paid features, downgrading the subscription, making certain paid functionality read-only, suspending paid access, or terminating the paid subscription after reasonable billing action.
Where practical, ConfirmPH may provide a grace period before paid functionality is restricted. A failed payment does not automatically mean that ConfirmPH will immediately delete Business records. Data retention and deletion remain subject to the applicable privacy and account policies.
14. Chargebacks and payment disputes
If you believe a ConfirmPH charge is incorrect, duplicate, unauthorized, charged after cancellation, or otherwise problematic, you should first use the official ConfirmPH billing-support process where practical.
If you open a chargeback or payment dispute through a bank, card issuer, e-wallet, or payment provider, ConfirmPH may provide relevant transaction, subscription, and account records to the provider as reasonably necessary to respond. ConfirmPH may temporarily restrict the affected paid subscription while a disputed payment is unresolved if reasonably necessary.
Opening a genuine billing dispute does not itself justify retaliation against a user. Fraudulent or abusive chargeback activity may, however, result in account restrictions under the Terms of Service.
15. Manual invoices and alternative payment arrangements
ConfirmPH may offer certain users or businesses manual invoices, bank-transfer arrangements, custom billing, commercial agreements, or other payment methods. A manual arrangement is valid only if it is offered through an authorized ConfirmPH process or confirmed by an authorized ConfirmPH representative.
ConfirmPH may request information reasonably necessary to identify and reconcile a payment, such as invoice number, payment reference, amount, payment date, or other reasonable payment evidence.
16. Payment providers
ConfirmPH may use authorized third-party payment providers to process payments. Those providers may process payment information under their own applicable terms and privacy practices. ConfirmPH may receive information such as payment status, transaction reference, amount, currency, subscription identifier, payment-method category, billing status, or other information necessary to administer the transaction.
Where a payment provider handles card credentials directly, ConfirmPH avoids storing complete card information unless necessary and appropriately secured.
17. Taxes and invoices
ConfirmPH may charge or collect applicable taxes where required. Prices may be tax-inclusive, tax-exclusive, or otherwise displayed according to the applicable purchase interface and legal requirements. Where required or supported, ConfirmPH may provide invoices, receipts, payment confirmations, or other billing records.
The Business remains responsible for its own tax, accounting, and reporting obligations relating to its use of ConfirmPH.
18. Rental-business payments are separate
For clarity, this Policy does not normally govern amounts paid directly between a renter and rental business, including rental prices, deposits, reservation fees, damage charges, fuel or charging fees, cleaning fees, late fees, cancellation charges, missing-item charges, penalties, or renter refunds.
Unless ConfirmPH expressly states that it processed a particular rental payment, those amounts are handled between the renter and the independent rental business. The applicable Customer / Renter Terms, Business Terms, and Trust & Safety Policy provide more information about those relationships. A payment status or financial record displayed inside ConfirmPH does not, by itself, mean ConfirmPH received, controlled, guaranteed, or can recover that money.
19. Changes to pricing
ConfirmPH may change prices prospectively. A new price may apply immediately to new purchases, new subscriptions, newly purchased add-ons, or another transaction entered after the new pricing takes effect.
If a price change affects an existing recurring paid subscription, ConfirmPH will provide notice appropriate to the circumstances and applicable law before the new price applies. Where additional acceptance is required, ConfirmPH will request it.
20. Changes to this Policy
ConfirmPH may update this Refund & Billing Policy as billing systems change, subscription models change, payment providers change, products or add-ons change, laws or regulatory requirements change, or the Service evolves. The Last updated date identifies the latest version.
Changes that materially affect existing paid subscriptions will be handled with any notice or consent required by applicable law.
21. Contact
For billing questions, refund requests, duplicate charges, cancellation problems, failed payments, subscription questions, or other ConfirmPH billing concerns, use the official ConfirmPH Billing, Contact, or Support page.
Short summary
This Policy covers money paid directly to ConfirmPH for subscriptions, paid plans, add-ons, additional capacity, and other ConfirmPH services. It normally does not cover money paid between a renter and rental business for an actual rental.
Paid subscriptions may renew automatically where recurring billing applies. Cancelling normally stops the next renewal, keeps the paid plan active until the end of the current billing period, and does not automatically create a prorated refund.
ConfirmPH subscriptions are generally non-refundable after a paid billing period begins, except where applicable law, an express purchase term, or a legitimate billing/service failure provides a right to another remedy. Not getting the number of bookings, customers, reviews, or revenue you hoped for does not by itself create a refund right.
Incorrect charges, duplicate billing, charges after effective cancellation, and material ConfirmPH billing or service failures may be investigated for correction, credit, re-performance, refund, or another appropriate remedy.
If there is any conflict between the English version and a translated version of this Policy, the English version controls, subject to any rights that cannot legally be waived or limited.
